Runbook vs Tallyfy: compare seat-based workflow software with forms, approvals and SSO to flat-priced recurring checklists with audit trails and CI integration.

Tallyfy is workflow software for running repeatable processes. It offers templates, forms, tasks and approvals, rules that show only the steps that apply, automations, guest access and AI [1][2]. It is sold per seat, with Full and Light seats, and SSO/SCIM is included on every paid plan [1].

Runbook is a narrower tool for recurring team checklists: templates with required/optional items, runs, schedules, an append-only audit trail, and an API and GitHub Action for CI. Pricing is flat per organisation in CHF, and it is hosted in the EU. Runbook is new and has no forms, approvals, branching or SSO.

Prices and features were checked on 2026-11-04 on Tallyfy's official pages and may have changed since. Tallyfy is a trademark of its owner. Runbook is not affiliated with, endorsed by or sponsored by Tallyfy.

Cost for an example team

The calculations below use only the published list prices, before taxes, and are not converted between CHF and USD. Tallyfy costs depend on how many Full seats (people who build templates) and Light seats (people who only complete tasks) you buy.

Team Runbook Tallyfy, annual Tallyfy, monthly
5 users: 1 Full + 4 Light Team: CHF 190/year (or CHF 19/month) $300 + 4 × $100 = $700/year $30 + 4 × $10 = $70/month
5 users: all Full Team: CHF 190/year 5 × $300 = $1,500/year 5 × $30 = $150/month
10 users: 2 Full + 8 Light Team: CHF 190/year 2 × $300 + 8 × $100 = $1,400/year 2 × $30 + 8 × $10 = $140/month
10 users: all Full Team: CHF 190/year 10 × $300 = $3,000/year 10 × $30 = $300/month

Tallyfy guests (external users who only see assigned tasks) are free [1]. Runbook has no guest role, but you can share a read-only link to a run.

Key differences

Process complexity

Tallyfy supports kickoff forms, approvals and rules that turn steps on or off [2]. Runbook's templates are linear checklists with sections, required/optional items, notes and simple {{variables}}. If a process branches or collects data, Tallyfy does more.

Pricing structure

Tallyfy prices by seat and seat type. Annual plans are paid up front and are non-refundable for the term [1]. Runbook charges one flat organisation price: CHF 19/month for up to 10 users, or CHF 49/month for up to 30. Runbook prices include 8.1% Swiss VAT for Swiss customers.

Identity and compliance

Tallyfy includes SSO (SAML/OIDC) and SCIM on every paid plan and states it is SOC 2 Type II attested [1]. Runbook has neither SSO nor a SOC 2 report. It uses passwordless email sign-in and owner/member roles.

Developer and CI usage

Runbook's GitHub Action, "Runbook: start checklist run", starts a run and can wait until it is completed. This lets a deploy pipeline wait for a human-checked release checklist. GitLab CI and Forgejo examples are also available. Tallyfy lists API & webhooks and an MCP server [2]. We did not check for a dedicated CI action.

When to choose Tallyfy instead

  • You need forms, approvals or conditional steps in your processes [2].
  • You work with many external guests, who are free on Tallyfy [1].
  • You need SSO/SCIM and a vendor with SOC 2 Type II [1].
  • You want AI features or BI data feeds [1].
  • Your team is larger than 30 users.

When Runbook fits better

  • Your recurring processes are checklists, not multi-branch workflows.
  • You want one flat price for up to 10 people, whatever their role.
  • You want a free plan and month-to-month billing without a 12-month commitment.
  • You want to gate deploys on a checklist from CI.
  • You prefer EU hosting and a tool with no trackers.

FAQ

How much does Tallyfy cost?

On 2026-11-04, Tallyfy listed Full Seats at $300 per year or $30 per month, and Light Seats at $100 per year or $10 per month, with a minimum of 1 seat. A Data Feed analytics add-on costs $20 per seat per year, on annual billing only. Tallyfy accepts USD only.

What is the difference between Full and Light seats in Tallyfy?

According to Tallyfy's pricing page, Full Seats can create templates, while Light Seats complete tasks only. Guests are free external users who only see tasks assigned to them.

Does Runbook have forms and approvals like Tallyfy?

No. Runbook has no form fields, file uploads, approval steps or conditional logic. A run is completed when all required checklist items are checked.

Which is cheaper for a team of 10?

With published list prices, Runbook's Team plan costs CHF 190 per year for up to 10 users. Tallyfy's FAQ says only Full Seats create templates, so at least one Full Seat is assumed here. On that basis, Tallyfy for 10 users costs between $1,200 per year (1 Full seat at $300 plus 9 Light seats at $100) and $3,000 per year (10 Full seats at $300). The currencies differ, and the two products have different feature sets.
