Use this checklist when you plan a team offsite, a company retreat or a multi-day team event, for a team of a handful of people up to a few dozen. It works for a one-day strategy session nearby as well as a three-day trip, and for remote teams meeting in person for the first time.

Who owns it

One organiser owns the run and the budget. A leader owns the goals and the agenda, and should not also be the one booking hotels. For larger events, assign travel, venue and activities to different people in the run.

Common pitfalls

  • No clear goal. "Spend time together" is fine, but say so. If you want decisions, write down which ones, and plan the agenda around them.
  • An agenda packed to the minute. The most valuable conversations happen in breaks and over dinner. Leave real free time.
  • Forgetting the people who cannot easily come. Parents, people with disabilities and those with dietary or religious needs need to know details early. Ask privately, not in a group chat.
  • Activities only some people enjoy. Long hikes, heavy drinking or competitive games exclude people. Offer choices.
  • No follow-up. Decisions made at the offsite fade within weeks. Write them down with owners before everyone leaves.

Frequently asked questions

How far in advance should you plan a team offsite?

For a one-day local event, a few weeks can be enough. For a multi-day trip with travel and accommodation, start two to three months ahead, longer in peak season. Share the date early so people can arrange childcare and other commitments.

What should be on a team offsite agenda?

A small number of sessions with clear goals, plenty of breaks, at least one shared activity and free time. Put the most demanding topics in the morning. End with a session that writes down decisions and owners.

How do you make an offsite inclusive?

Ask early and privately about dietary, accessibility and family needs. Choose activities everyone can do or offer alternatives, and do not make alcohol the centre of social events. Respect that some people need quiet time.
