Use this checklist for the daily or weekly handling of customer returns in an online shop. It covers returns that arrive at your warehouse, from authorisation (RMA) to refund and restocking. A predictable returns process reduces support contacts, gets resellable stock back on the shelf quickly, and shows you which products cause problems.

Who owns it

The person handling returns in the warehouse owns the daily run: receiving, inspecting and restocking. Customer support owns the customer communication and approves exceptions. Finance or the store owner decides on refund rules for damaged or late returns, and reviews the return reasons regularly.

Common pitfalls

  • Refunding before the item arrives. Unless you have decided to refund on dispatch for good customers, refund after inspection. Otherwise empty or wrong parcels are refunded.
  • Returns sitting in a corner. Unprocessed returns are stock you cannot sell and customers waiting for money. Process them on a fixed rhythm and refund within the time you promise.
  • Restocking damaged items. A returned item put back without inspection becomes the next customer's complaint. Grade every item before restocking.
  • Ignoring return reasons. "Too small" on one product points to a wrong size chart. Review reasons regularly and fix the cause.

Refund deadlines and withdrawal rights differ by country. Check the consumer rules that apply to the markets you sell to.

  • Approve or decline each request and send the customer return instructions or a label

  • Check the items match the request: product, variant and quantity
  • Grade each item: resellable, needs repackaging, or damaged
  • Photograph damaged or wrong items before deciding on the refund optional
  • Contact the customer about returns that do not match the request or show damage

Restock or write off

  • Send items that need repair or repackaging to the right area
  • Write off unsellable items with the reason recorded
  • File a carrier claim for items damaged in transit optional

Keep the photos and the packaging; most carriers set a short deadline for claims.

Refund

  • Issue refunds or exchanges for inspected returns, according to your policy
  • Confirm refunds go back to the original payment method unless the customer chose store credit
  • Send the customer confirmation of the refund or exchange
  • Check that no inspected return is waiting longer than your promised refund time

Learn

  • Update product pages, size charts or packaging for recurring return reasons optional

Frequently asked questions

What are the steps in an ecommerce returns process?

The customer requests a return, you approve it and send instructions or a label, and the item is shipped back. You receive and inspect it, then restock or write it off and issue the refund or exchange. Finally, record the reason, so recurring problems can be fixed.

What is an RMA?

RMA stands for return merchandise authorisation. It is the approval and reference number given to a customer before they send an item back. It links the parcel to the order and reason, which makes receiving faster and stops unexpected returns arriving without any context.

How quickly should I refund a return?

Refund as soon as the item has been inspected, and within any deadline set by the consumer rules in the countries you sell to and by your own policy. Quick refunds reduce support contacts and chargebacks. Process returns on a fixed daily or weekly rhythm so none sit unprocessed.
